When a new order is created, you need to confirm with the supplier before deciding whether you can book the order, and BookingMeta offers you seven ways to contact the supplier to place the order without any hassle. One of the ways is to send an email to the supplier, so let's see how it works!

Two forms of sending emails:
System automatically sends emails to suppliers
You can pre-set the supplier's contact email and other information in the system, and then when a new order is generated, the system will automatically send a notification email to the supplier.
First we set up the contact email of the supplier as follows:

Add a new contact, select the contact role, and fill in the email (for more information on how to create a contact, see Supplier: Basic Information)

Select yes on automatic notifications

Click Save
Edit in Supplier -> Supplier List -> Edit.
Note:When you edit a supplier and set the specified distributor not to send "New Order" notifications, the distributor's orders will not be automatically emailed to the supplier. If you want to set such information, please see Supplier: Basic Information for details.
When you receive a new order, you can see in the order list "TBC by supplier" is displayed "1/1", which means that the system has automatically helped you to send the order to the supplier, then you just need to wait for the supplier to reply to see whether you can confirm the reservation.
View the order in Bookings -> All Bookings.
If you want to resend an email to a supplier, or want to confirm that the email was sent successfully, you can find the record in the Email Records.
Edit in Bookings -> Email Log.
Your operator can manually send an email to the supplier
If when a new order is generated, your operator wants to check the order information first, and sends an email to the supplier after checking it clearly, for example, to check if the pickup address is within the pickup area, if the customer has provided a valid passport number, etc. In these cases, you do not need the system to send an email automatically, you can just turn off the automatic notification switch. When a new order is generated, you can directly operate in order management.
Specific steps:

Click to send booking to supplier

Click send supplier voucher

Check the contact on the supplier side

Click Confirm
Send the email manually in Bookings -> All Bookings.
After sending it, you can see the "TBC by supplier" display is "1/1", which means the email has been sent to the supplier, in the supplier confirmation status, waiting for the supplier to reply.
Check the delivery status in Bookings -> All Bookings.
